For UAE hotel bedding, the most useful RFQ is not a request for “five-star quality.” It is a room-by-room specification that connects mattress dimensions, fabric construction, laundering conditions, replacement targets, labelling responsibilities, inspection criteria and delivery sequence. A supplier can then quote a product that is measurable, sample-ready and realistic for the property’s operating model.

Start with the hotel operation, not a generic thread count

A beachfront resort, a serviced apartment, an airport hotel and a staff-accommodation project can all require different bedding even when the mattress size is similar. Before discussing yarn count or price, define how the product will be used and maintained.

Build each hotel bedding specification in measurable terms

“Cotton hotel sheet” is not a complete specification. Two products can share that name and behave differently after repeated laundering. The approved specification should identify the fibre composition, yarn construction, fabric construction or mass, finished dimensions and tolerances, colour standard, sewing details, labelling and packing.

Sheets and fitted sheets

  • State the exact finished width and length in centimetres.
  • For fitted sheets, add mattress depth, pocket depth, elastic position and acceptable pocket tolerance.
  • For flat sheets, confirm the tuck allowance and whether the property uses hospital corners.
  • Define the fabric by composition and construction, not by thread count alone.
  • Agree the finished measurement after the specified conditioning or laundering stage.

Duvet covers

  • Confirm finished dimensions against the actual insert, including desired overhang.
  • Choose an opening method that fits housekeeping practice: envelope, button, zipper or open-end hotel construction.
  • Record internal ties or corner loops if required.
  • Approve the closure, seam security and any piping on a physical sample.

Thread count is only one part of hotel performance

Thread count can help describe a woven fabric, but it does not independently prove durability, comfort or value. Yarn quality, actual construction, weave, finishing, fabric mass, seam design and laundering conditions matter as well. A realistic comparison should place the fabric specification beside a wash-test result and an approved handfeel sample.

For many hotel programs, white cotton or cotton-rich percale and sateen constructions are common directions. Percale is often selected for a crisp hand and operational familiarity; sateen may offer a smoother, more lustrous presentation. A cotton-polyester construction can be considered where drying time, crease recovery or budget is important. The correct choice depends on the property and laundry route, not a universal “best” fabric.

Test the product against the intended laundry route

A wash test should reproduce the decisions the buyer needs to make. Record the original measurements and appearance, then define the wash and drying procedure, number of cycles, detergent, temperature, load and evaluation method. Check dimensional change, skew, colour change, pilling, seam puckering, closure function, embroidery appearance and handfeel.

ISO 6330:2021 specifies domestic washing and drying procedures for textile testing. A commercial hotel laundry may use different machinery and chemistry, so the buyer should also document the actual operational cycle or an agreed simulation. The important point is reproducibility: “washed several times” is not a test specification.

Set the acceptable dimensional change before testing. For fitted sheets, even a modest change can affect pocket fit. For duvet covers, compare the washed cover with the approved insert. For pillowcases, check both finished size and envelope performance.

Plan UAE textile compliance before bulk labels and packaging

The UAE’s Cabinet Resolution No. 54 of 2019 on the control of textile products covers specified textile products supplied or imported into the country, including ready-to-use textiles intended for internal use and products containing textiles at or above the stated weight threshold. The resolution addresses conformity assessment, components and care information, storage information, traceable production batches and the Emirates Conformity Mark requirements described by the scheme.

The attached regulation also addresses visible composition information and marketing particulars such as origin, manufacturer, importer and approved trademark. Do not release bulk labels from a generic artwork file. The UAE importer of record or its appointed conformity adviser should confirm the product’s exact scope, applicable UAE standards, evidence route, required languages, mark use and final legal copy before printing.

A practical approval file normally includes:

  • final fibre composition and construction;
  • product and pack dimensions;
  • care instructions matched to the tested product;
  • country-of-origin, manufacturer and importer information as applicable;
  • SKU, barcode and production-batch traceability;
  • approved label, retail pack and master-carton artwork revisions;
  • test reports and conformity documents required for the actual shipment.

A signed sample is useful only when it is connected to the same specification revision as the purchase order. Before production, identify critical, major and minor defects and define the inspection stage. Typical checkpoints include shade consistency, fabric defects, finished dimensions, component count, seam security, stain or contamination, closure function, label accuracy, barcode readability, retail-pack appearance and carton assortment.

ISO 2859-1:2026 provides AQL-indexed sampling schemes for lot-by-lot inspection. Writing only “AQL 2.5” is incomplete. The purchase order or inspection instruction should also define the lot, inspection level, sampling plan, defect classes, acceptance limits and what happens after a failed inspection.

Plan project quantities and delivery by room type

Hotel bedding quantities should be calculated from the room matrix, bed type, pieces per bed, operational par level and spare or replacement stock. Keep opening stock, replenishment stock and any mock-up-room requirement visible as separate lines. If delivery is phased, identify which room types and SKUs are needed in each shipment.

Packaging should support both transport and site distribution. A large mixed carton may reduce packing cost but create work at the property. Room-type packs, floor packs or clearly marked SKU cartons can improve receiving and installation. Confirm carton dimensions only after the final textile pack and compression method are approved.

Common RFQ mistakes that slow hotel bedding projects

  1. Using size names without centimetres. “King” can describe different dimensions across buyers and properties.
  2. Requesting a thread count without construction data. This prevents a meaningful product comparison.
  3. Approving appearance but not wash performance. The first sample may look correct before operational laundering.
  4. Leaving labels until production. Compliance and importer information can affect artwork, testing and timing.
  5. Quoting one total quantity. The factory needs a SKU split to cost materials, packing and production.
  6. Writing “AQL inspection” without a defect list. The inspector needs objective acceptance criteria.
